Acceptable Use Policy
Who this applies to
This policy applies to everyone who uses Sales Bingo — players, controllers, administrators and owners. It forms part of the Terms and Conditions. Your employer may have its own rules on top of these; where they are stricter, theirs apply.
The spirit of the game
Sales Bingo exists to make the difficult, unglamorous sales activity worth doing — the dormant account, the senior meeting, the cross-sell nobody volunteers for. A square is only worth something if the work behind it actually happened. Everything in this policy follows from that one idea.
Fair play
You must not:
- Bank a square for work that did not happen, or that happened before the season started.
- Submit the same piece of work more than once to inflate a repeat count.
- Split one deal into several entries to fill more squares.
- Claim a colleague's work as your own.
- Invent, exaggerate or round up a deal value to clear a threshold.
- Arrange with a colleague, a controller or a client to record activity that did not take place.
- Create additional or fictitious accounts to gain an advantage.
- Pressure a controller to approve an entry they have questioned.
Getting an entry rejected is not misconduct — that is the verification process working. Deliberately entering something you know to be false is.
Evidence you enter
- Enter the real client name, the real deal or job code and the real value, so a controller can check it against your organisation's own records.
- Enter only what the square asks for. Do not paste contracts, pricing sheets, whole email threads or attachments into a note field.
- Do not enter anything you are contractually barred from recording in a third-party system, or anything covered by an NDA that does not permit it.
Confidential and personal data
Client names, deal codes and deal values are commercially confidential. Sales Bingo encrypts them and shows them only to controllers and administrators — but that protection only works if you use the fields as intended.
- Never enter special category personal data. Nothing about anyone's health, beliefs, ethnicity, political opinions, trade-union membership, biometrics or sexual orientation, in any field, ever.
- Do not enter payment card numbers, bank details, passwords or access credentials.
- Do not enter a private individual's personal contact details. A named business contact and their role is the most that belongs here.
- Do not screenshot the control room or an export and circulate it outside the people entitled to see it.
- Do not use the Service to store anything that is not about playing the game.
Conduct towards colleagues
Leaderboards, duels and the activity feed are meant to be competitive and good-humoured. They are not a place for anything else.
- No harassment, bullying, intimidation or discrimination in any free-text field, team name or profile.
- No abusive, obscene, hateful or threatening content.
- No using a review note to insult or belittle the person whose entry you rejected. Say why it was rejected, plainly.
- No impersonating a colleague, a controller or an administrator.
Technical limits
You must not:
- Probe, scan or test the security of the Service without our written permission, or try to reach another organisation's data.
- Attempt to bypass authentication, role checks, seat limits or country scoping.
- Automate, scrape or script access to the Service, or work around rate limits.
- Upload malware, or use the Service to distribute it.
- Reverse-engineer, decompile or resell the Service.
- Interfere with availability for anyone else.
If you find a security flaw, we would much rather hear from you than read about it. Report it to [email protected] and give us a reasonable chance to fix it before disclosing it. We will not pursue anyone who reports a genuine vulnerability in good faith and does not exploit it or access other people's data.
Administrators and controllers
Extra access carries extra obligations.
- Verify honestly. Approve what the evidence supports and reject what it does not, including for people you like.
- Stay in your market. Controllers see their own country by design. Do not try to work around that scoping.
- Exports are confidential. An audit export contains client names and deal values. Handle it as you would any commercially sensitive report, and do not forward it outside the people entitled to it.
- Do not use the game as a performance-management record. Sales Bingo is recognition. Do not feed its data into appraisals, disciplinary processes, HR or payroll systems.
- Write fair goals. Squares should be achievable by every player they apply to.
- Honour your credits. If you tell your people a credit is worth something, make it worth that.
- Only claim a domain you control as your auto-join email domain.
How we enforce this
Day-to-day enforcement is your organisation's job: controllers reject entries and administrators can deactivate accounts. Validation inside the game is human — we do not run automated fraud detection, and a rejected entry is a judgement made by a named person.
Where a breach affects the Service itself or other customers, we may:
- Ask the organisation's owner to resolve it;
- Remove offending content;
- Suspend an account or an organisation;
- Terminate the agreement for a serious or repeated breach.
Except in a security emergency, we contact the owner first and give a reasonable chance to put things right.
Reporting a problem
To report abuse, a security issue, or a breach of this policy, write to [email protected]. Include the organisation, what you saw and when. We aim to acknowledge every report within two business days.
If the problem is with something inside your own organisation's game — a disputed rejection, an unfair square, a colleague's behaviour — raise it with your administrator first. They control the account and can act immediately.
